Sample Welcome Letter

This is a copy of a welcome letter to the parents of an actual Geology club. I have underlined dates times, places, etc that will be different for your situation. You may use any part or parts of this letter for starting your own Geology Club.

We are thrilled to be working with your son or daughter through the Third Grade Geology Club. This club is new to Name of school or organization so let us know of any suggestions or concerns you may have as the year progresses.

The purpose of the club is to:

  • Stimulate interest in science
  • Educate on the basics of geology
  • Build confidence in science skills
  • Have fun with science!
  • Demonstrate geology in everyday life

The topics that have been chosen for the club meetings are based on those found in the third grade science textbook. However, most teachers do not cover this topic until the end of the school year so we will give the students background information as needed.

During each club meeting the students will learn about basic geology through hands-on activities. Each student will bring home any projects worked on during club time in addition to projects to try at home between club meetings. ALL home projects are entirely optional. The $25.00 club fee covers the cost of materials used during our meetings and those sent home. All adults involved with the program are volunteers and are not paid for their time.

Details of club meetings:

  • Meet first Friday of the month which falls on October 7, November 4, December 2, February 3, March 3, April 7 and May 5 (No meeting scheduled in January).
  • Meeting time is from time PM – time PM. Students should go directly to their meeting room after school to allow time for a snack and drink.
  • Students should plan to bring their own snack and drink although pretzels will be provided for those without a snack.
  • Students will be dismissed at approximately time PM at place .
  • STUDENTS SHOULD BRING THEIR GEOLOGY JOURNAL TO EACH MEETING!(The journal will be passed out at the first meeting).

We have 47 students signed up for the Geology Club. Depending on room location, we may split into two groups with half working with Kelly and the other half with Kathy. Any parent interested in helping at some of the meetings should contact us directly via phone or email. We can always use parent help so let us know if you are able!
